Position Description
Full-Time, Salaried, Performance-Based Bonus
Location: San Francisco, CA
Salary Range: $130k – $175k / annually

Conventus is seeking a dynamic, execution-focused Vice President of Loan Operations to serve as the “conductor” of our Bridge and DSCR loan pipelines, orchestrating cross-functional teams to ensure every loan closes efficiently with an exceptional client experience. Reporting to the COO, this pivotal role will oversee end-to-end loan operations, act as the primary escalation point, and foster partnerships across Sales, Capital Markets, Credit, Construction, and external stakeholders. A critical responsibility is supporting Closing, Processing, and Underwriting (UW) managers by understanding their pain points and driving solutions through organization-wide collaboration. The ideal candidate is a collaborative leader, natural problem-solver, and process optimizer who thrives in a fast-paced environment and leads with transparency and urgency.
Responsibilities
Conductor Role – Cross-Organizational Coordination (Primary Focus):
- Orchestrate seamless collaboration between Ops, Sales, Capital Markets, Credit, Construction, and external partners to drive loans to closing, regardless of reporting lines.
- Lead weekly pipeline syncs to summarize progress, manage handoffs, and align teams on priorities, preventing stalls due to silos or miscommunication.
- Proactively identify and resolve cross-departmental bottlenecks (e.g., guideline disputes, funder delays) through partnerships, ensuring clear action plans and follow-through.
- Foster a collaborative, resilient learning culture, sharing lessons learned in team syncs to encourage innovation and open dialogue.
Loan Pipeline Management:
- Oversee daily Bridge and DSCR loan pipeline operations, ensuring timely processing and closing to meet monthly goals.
- Run daily 10-minute standups to enforce SLAs, log bottlenecks, and drive throughput, sharing insights in weekly Ops meetings.
- Implement process tweaks (e.g., document naming, condition management) to enhance efficiency, coordinating with relevant teams.
Support for Closing, Processing, and UW Managers:
- Partner with Closing, Processing, and UW managers to understand pain points (e.g., delayed documents, guideline misinterpretations, funder issues) through regular check-ins.
- Log recurring issues in the tracker and advocate for solutions (e.g., training, process tweaks) in weekly Ops management meetings, securing resources across the organization.
- Ensure managers have the support needed to meet SLAs and client expectations, removing obstacles through cross-departmental alignment.
Escalation Resolution:
- Serve as the primary escalation point for bespoke loan issues (e.g., entity structures, insurance disputes)
- Coordinate with internal teams and external partners to deliver swift, client-focused solutions, logging resolutions to inform process improvements.
Client-Centric Execution:
- Prioritize clear client communication and timely closings, minimizing delays and enhancing satisfaction.
- Monitor closing document reviews (100% pre-escrow, <5% errors) and funder performance to meet SLA standards, addressing manager-identified issues promptly.
- Drive initiatives like transitioning insurance verification to closing to streamline client experiences, incorporating manager input.
Team Leadership and Accountability:
- Champion Loan Ops Office Hours to foster dialogue, share resilient learning culture, and propose process tweaks based on manager and team feedback.
- Conduct performance check-ins, manage underperformers (e.g., retraining or exit plans), and recognize top performers, supporting managers in team oversight.
- Support DSCR loan specialist transitions, ensuring clear task handoffs and role clarity with manager involvement.
Guideline Maintenance and Training:
- Partner with Learning, Development and Quality Control and Credit to revise Bridge and DSCR lending guidelines for clarity and compliance (e.g., standardizing felony handling), incorporating manager feedback.
- Develop and deliver training programs tailored to Processing, UW, and Closing challenges, ensuring team proficiency with updates.
- Establish quality control and audit processes to monitor adherence, using findings to drive manager-led improvements.
Qualifications
- Bachelor’s degree in Business Administration, Finance, or related field (advanced degree preferred).
- 10+ years of experience in residential or commercial loan operations, with expertise in origination, processing, underwriting, and closing.
- Proven leadership in coordinating cross-functional teams and driving process improvements in a fast-paced lending or fintech environment.
- Demonstrated ability to support operational managers, understand their challenges, and secure solutions through organizational partnerships.
- Strong knowledge of loan guidelines, compliance requirements, and industry best practices (commercial insurance or builder’s risk policies a plus).
- Highly analytical, with the ability to track performance metrics, interpret pipeline trends, and make data-driven decisions.
- Exceptional communication and stakeholder engagement skills to build partnerships and align diverse teams.
- Organized and adept at managing multiple priorities under tight deadlines.
